Introduction: The Problem with Email (and Why You Need AI Email Automation)
Are you constantly battling a flooded inbox? If you’re part of a support or sales team, you know the daily struggle. Support teams can spend several hours every day crafting detailed responses, while sales teams might miss crucial opportunities simply because replying to messages takes too long to send. This isn’t just inefficient; it’s a drain on your team’s time and resources.
What if you could generate a perfect, contextual email draft in just 15 seconds, saving teams 20+ hours per week? That’s the power of AI Email Automation.
Today, we’re diving deep into a step-by-step guide on how to build an AI Email Automation system using Make. This workflow will leverage the power of Make’s AI tools and Gmail to automatically process incoming messages and generate professional, human-like drafts for review. Whether you’re searching for “Make Gmail automation,” “AI email replies,” or “no-code customer support,” this is your guide.
Pre-Flight Checklist: Tools You Need
Before we start building, make sure you have these four essential items ready:
-
A Make Account: The free tier works for testing. (Click here to create one).
-
Gmail with API Access: If you’re using workspace, you might need an app-specific connection. (See here to learn how to connect).
-
Make AI Credits: Check your balance under Account AI Credits. Free accounts get 100 credits per month.
-
A Test Email Address: This is crucial so you don’t spam real customers while building.
Step-by-Step Blueprint for AI Email Automation
Here’s the complete flow: The Gmail Watch module triggers on new emails, the Make AI generates a contextual reply, and Gmail saves it as a draft for approval.
Step 1: Setting Up the Trigger (Gmail Watch Emails)
The first step is to create a new scenario in Make and search for the Gmail Watch Emails module—This is your trigger.
Now, configure the settings to ensure a smooth, error-free workflow:
-
Connect Your Gmail Account: Connect your Gmail account via OAuth or reconnect if needed.
-
Filter Type: Set this to Gmail filter.
-
Query: Set the Query to
"in:inbox -subject:Re: is:unread". This stops the bot from responding to auto-replies. -
Mark email messages as read when fetched: Set this to Yes. This prevents the deadly infinite loop where your bot replies to itself.
-
Limit: Set the limit to 5 emails per cycle to save operations.
Step 2: The Core AI Intelligence (Make Run an Agent)
Next, add a Make Run an Agent module and create an agent.
-
Give the agent a name.
-
Choose a model: For this case, we’re going to use the gpt-5-mini because it gives us strong writing quality, a professional tone, and fast generation. You can, however, test with others for lower costs or better responses.
The System Prompt: Defining Your AI Agent
This is an example of what you can do for the configuration, but you can change it to better fit your needs:
System prompt: You are a customer support agent for a professional company named — Your company —. Read the customer’s message and write a clear, polite, and concise reply.
Use a friendly but professional tone.
Address the customer’s issue directly with simple, easy-to-understand language.
Give only necessary details, no long explanations.
If information is missing, ask for it briefly.
Always thank the customer and offer further assistance.
Agent Settings: Controlling Output Size
To restrict the size of the email response, click in configuration.
-
In Agent settings, set the Max Output Tokens to 500. That is plenty for a standard professional email reply.
-
Context (Optional): In Context, you can add documents (like a pdf, a doc, or even a csv spreadsheet) that will give the agent the proper information to elaborate a better response.
Mapping the Email Data
-
Back to the module, in Thread ID, map the thread ID from Gmail.
-
In Messages, add the Gmail full text body. That’s the email text content that our agent will respond to.
Step 3: Saving the Draft (Gmail Create a Draft)
Next, we’re going to add a Gmail Create a Draft module. In this case, we will only create an email to be revised by you. If you prefer, you can use the Send an Email module to send it without human approval.
This is the configuration reference:
-
Select your email in the From field.
-
In the field To, map it from the first module.
-
In Subject, type
Re:and map Subject. -
In Content, map the AI output from step 2.
-
In Threading, click in Advanced settings and Map Thread ID to Gmail Thread ID.
Important Safety Note: If you decide to send the email directly, always run this draft mode for 48 hours. Review 20-30 drafts before enabling auto-send; AI makes mistakes—don’t skip this.
Testing and Refining Your AI Email Automation
-
Click Run once and send a test email.
-
Check the execution log—90% of errors are mapping issues.
-
Testing Safely: Use Create a Draft and add the word TEST to subjects. This visual flag prevents accidents.
Advanced Tips for a Pro Setup
Here is a tip: Create separate scenarios for each area of your company (like for Refund Requests, Technical Issues, and Sales Inquiries) separating by Gmail labels.
After you’ve tested, activate the scenario, and that’s it! Now you save hours of work for you and your team.
